Manages Items with Unique ID’s and Items without Unique IDs

Serialized items have unique ID / serial #’s, such as lethal weapons, non-lethal weapons, radios and similar items. Non-serialized items share a common item-type identifier, such as boxes of ammo, flashlights, holsters and similar items.

Serialized items can be labeled with QR code (2D barcode) labels or RFID tags that are linked to each items unique ID #. Non-serialized items are typically represented by 1D barcodes with item-type name and barcode for each item-type. Non-serialized barcodes can be placed on shelves and drawers corresponding to where the items are stored, and, can be placed in binders that are utilized at tracking stations.

IoTWeaponTracker enables check-out and check-in by scanning serialized item labels or tags, and non-serialized items by scanning an item-type barcode and then incrementing or decrementing the quantity.

Issues, Assignments, Returns and Inventories / Audits

For the Issue and Turn-in of weapons and other items, the software can be used with keyboard, with USB barcode scanner, with USB RFID-barcode scanner, with mobile scanner or tablet, or with RFID antenna(s) mounted at windows or doors. Items can be issued for short-term usage, such as an 8-hour work shift, or, assigned for long-term usage, such as police officers who maintain long-term custody of their items.

All items in an armory can be inventoried after shift-turnovers, or whenever needed, identifying all items in an armory or at any location. Inventory data is integrated with the data related to items that have been issued or assigned to personnel, for full accountability of all items.

Audits enable the advanced features of scanning all items in an armory to determine expected and found, expected and not found, and unexpected and found.

Tracking Technologies: Barcodes, RFID, and Biometrics

The digital software is only as good as the physical method used to identify the assets. Modern Armory Tracking System leverages sophisticated tracking technologies to maximize speed, accuracy, and security.

Barcode Tracking: The Foundation of Identification

Barcode technology (typically 2D codes like QR or Data Matrix) remains a fundamental, low-cost component of many tracking systems.

Label Durability: Asset labels must withstand extreme conditions (temperature, solvents, rough handling). Durable poly-laminate or metalized asset tags are required, often with the unique serial number etched or laser-marked.

Scanner Technology: Handheld USB or Bluetooth scanners are used. The key advantage is simplicity and cost.

Limitation: Barcodes require Line-of-Sight Scanning (LoS). The Armorer must physically locate and aim the scanner at each asset, which is a major bottleneck during large inventories.

Radio-Frequency Identification (RFID): The Game Changer

RFID is the technology that fundamentally separates a modern ATS from a legacy system. It uses radio waves to automatically identify and track assets without the need for line-of-sight.

Passive tags contain no battery and are powered by the electromagnetic energy transmitted by the reader. This is the standard for asset tracking. An Armorer can walk into a storage cage with a handheld RFID reader and perform a full inventory count of hundreds of weapons in seconds, without ever touching or seeing the tag. The system logs the location and time of the count. Fixed RFID antennas can be mounted at strategic locations, such as the Issue/Return window or armory doorways.

Active tags contain a small battery, allowing them to broadcast a signal autonomously. They are reserved for high-value or critical assets that require geofencing and real-time location. Active tags, combined with strategically placed readers/locators, can provide the specific location of the asset within the building (e.g., "Rifle S/N X is located in Maintenance Bay A").

Infrastructure Deployment: Optimizing the Armory Layout

The Fixed Workstation, located at the primary issue and return window, serves as the central hub for the armory operation. It enables the armorer to log in, authenticate personnel, perform data lookups, and capture electronic signatures during issue or return transactions.

The Mobile Rolling Cart, typically positioned inside the armory or at secondary issue/return windows, is equipped with a tablet PC, mobile barcode or RFID scanner, and a compact printer. This setup allows the armorer to move the tracking station directly to the assets, enabling faster inventory checks and transaction processing at the point of storage.

The Exit Gate Antennas, installed at all personnel and vehicle exits, provide mandatory passive monitoring of every tagged asset leaving the secure zone. These antennas are fully integrated with the alarm and alert system to detect and report unauthorized movement. The Biometric Scanner, positioned at each authentication point, is used in high-security environments to verify the identity of both the armorer and the recipient before any transaction or access is approved.

Beyond Weapons: Comprehensive Asset and Tool Tracking

While the system is often termed a "Weapon Tracking System," its COTS foundation allows it to be a comprehensive Asset Management System (AMS) for virtually anything within the operational environment. Expanding the scope leverages the initial investment and drives greater efficiency.

Critical Non-Lethal Gear Tracking

Body-Worn Cameras (BWC): Body-worn cameras are tracked as part of the legal chain of evidence to ensure accountability and transparency in law enforcement and defense operations. The system automatically issues an alert if a BWC is returned without a fully charged battery or if its memory card is full, guaranteeing operational readiness before the next deployment.

Radios and Communication Devices: Radios and other field communication equipment are essential for maintaining operational readiness. Tracker IoT monitors each device’s maintenance schedule, firmware updates, and battery replacement cycles, ensuring teams stay connected with reliable, fully functional communication tools.

Forensics and Evidence Kits: Forensic and evidence kits require strict control to maintain integrity and expiry compliance. Each kit’s contents are tracked by lot number, and the system automatically prevents issuance of any kit whose chemical or testing components have expired, ensuring every investigation or response team operates within evidentiary standards.

Vehicular Tools (e.g., Jaws of Life, Ram): Heavy-duty vehicular tools are tracked for liability and inventory control. Each tool is assigned to a specific vehicle, and the system logs usage hours and maintenance intervals. Automated reminders help ensure critical rescue or mechanical equipment is always serviced, safe, and ready for deployment.

Tool Crib and Maintenance Inventory

Maintenance bays and tool cribs are high-loss environments. The ATS can be adapted to manage specialized gunsmithing tools, calibration devices, and parts inventory.

Check-Out/Check-In: Tools are issued to technicians for specific work orders.

Calipers and Gauges: The system tracks the required Calibration Date and locks the item from use if the date has passed, preventing technical errors.

Warehouse and Depot Management (The Supply Chain View)

For larger organizations, the ATS connects the armory (tactical storage) to the main depot (bulk storage and procurement).

Procurement Verification: The system allows depot staff to scan new shipments (e.g., a pallet of 50 new rifles). The system instantly compares the scan to the original Purchase Order (PO) created by the procurement department, ensuring that What was ordered = What was received = What was tracked. This prevents vendor discrepancies and reduces financial loss.

Bulk Transfer Tracking: Transfers between depots and armories are recorded as internal transactions with the same CoC log, ensuring accountability from the moment an item leaves the central warehouse until it is issued to the end-user.

RFID Detection and Alarm Security at Armory Exits

IoTWeaponTracker understands that weapons or other RFID-tagged items may not be properly authorized for removal, and that there may be a need to prevent the theft of weapons.

Armory, warehouse, depot and training facility exits can be equipped with RFID antennas, alarm and video camera to detect RFID-tagged weapons and items as they approach an exit. When a RFID-tagged weapon or item approaches an exit, the tags are detected by RFID and antennas, which automatically transmit any unauthorized weapons or items to the IoTWeaponTracker command center software.

Alarm sounds, lights flash and there is a voice command ‘unauthorized exit…return to tracking station’. The tracking station can be linked to video cameras and utilize time-dates stamps to identify and person that exits and armory with weapons or other items in an unauthorized manner.

Mobile Scanners and Tables for Inventories and Audits

Mobile scanners can be utilized for armory, warehouse, depot and training facility inventories and audits.

For customers utilizing barcode labels and not RFID tags, the mobile scanner only scans barcodes, from close proximity, one at a time. For customers utilizing RFID and/or barcodes, RFID tagged items can be scanned from distances up to 20’, and barcodes can be scanned one at a time from close proximity.

After shift turnovers, or at any time, armories can be inventoried to identify all items in storage, which is aggregated with all items Issued to personnel, to produce complete inventory reports.

Armory audits identify items expected within the armory, and produces a report of expected items that were detected, expected items that were not detected, and items not expected to be in the armory, but were detected.

IoTWeaponTracker is your 360˚ Weapons, Gear and Ammo Command Center

IoTWeaponTracker is a weapon management system that is available out-of-the-box with all of the capabilities developed for prior clients. It can be rapidly configured for each new client’s exacting data, tracking, workflow, security, and reporting requirements.

GPS-GSM Technology for Real-Time Weapon Tracking and Officer Safety

Tracker IoT LLC introduced to the global market the first GPS-GSM weapon tag and real-time tracking solution in 2018, and has continually enhanced the tag and software to the present date.  Our current IoTWeaponTracker weapon tag is the most advanced in the worldwide market today, including tracking and security alerts.

The weapon tags are placed under the front of the barrels of handguns, and are placed in a forward grip for long guns.  The tags are secured to weapons and require special tools to attempt to remove the tags.

Battery life is dictated by how often the tag pings its location via GSM messaging, with an expected battery life of 1 to 2 weeks.  Handgun grips can be equipped with electro-magnetic charging device to automatically keep the handgun GPS tag powered, for much longer usage between recharging.   Officers can include in their gear a batter pack that connects to the long gun tag to keep the tag charged for a longer period of time.

There are automatic alerts to the command center if tags are at low power levels.  If the weapon/tag is not in an area that has electricity or charging capability, such as in a jungle or other remote area, officers can carry extra batteries and tags, to ensure that weapon tags have power for required, extended periods of time.

Weapon Separated from Officer Alert – Left behind, Lost or Stolen

IoTWeaponTracker Weapon Tracker tags include a BLE (Low Energy Bluetooth) computer chip.  Officers can be equipped with a BLE personnel ID card or key fob.  The BLE chip in the weapon tag is paired to the officer BLE card or key fob.  The software enables a configurable weapon-distance-from-officer setting, such as 1 meter or 2 meters.  If weapon is separated from officer beyond this threshold, there is an automatic alert.

If an officer or solider is separated from their weapon, an alert automatically transmits to the command center software so that a response to the incident can be executed to operational policies.

Weapon unholstering

Weapon Unholstered Alert

IoTWeaponTracker Weapon Tracker tags are electro-magnetically linked to the hand gun’s holster.  As a handgun is removed from a holster, the connection between the handgun and the holster is ‘broken’, based on the separation of the weapon/tag and the holster.

Once the weapon is pulled from a holster, it signifies an event of interest, and an alert displays in the IoTWeaponTracker command center software.  Response to the unholstering of a weapon can be dispatched, or response can be triggered only if shot(s) fired.

Shots fired

Shot(s) Fired Alert

IoTWeaponTracker Weapon Tracker tags include a motion sensor that detects if a shot or shots are fired by a weapon being tracking by the GPS / GSM tracking system command center.  The weapon tag includes an accelerometer chip that detects if shot(s) are fired, and also counts the number of shots that are fired.

Detecting shot(s) fired enables command center staff to dispatch security response, while also providing historical data that saves to the software corresponding to the officer’s actions and the weapon’s usage.   Weapon separation from officer, unholstering and shot(s) fired alerts provide real-time visibility.

Route payback and reporting

Geofencing Alert

Geo-fence boundaries can be established around any room, building, grounds or areas that are desired. Geofencing can be set for a armories and storerooms, to know if a weapon is removed from the storage system. Geofencing can be established for a building, to produce alert if a weapon leaves the building.

IoTWeaponTracker automatically diagnoses geofencing events and determines of the weapon was authorized for removal, and if not authorized for removal, triggers alert to the command center software.
Geofencing can also be applied to officer work areas, cities or any other perimeter.

weapon tampering

Tag Tamper Alert

IoTWeaponTracker GPS Weapon Tracker tags include a motion sensor that detects if a tag is being tampered with or is being removed from a weapon. If a tag is tampered with or removed from a weapon, the event produces an alert via the software command center.

The alert indicates the specific weapon tag that is being tampered or removed, and indicates the specific GPS coordinates of the weapon’s location. Security response can be dispatched to assess operational details and to attempt recovery of the weapon.

Duress alert

Duress ‘Need Help’ Alert

Whereas the IoTWeaponTracker GPS Weapon Tracker tag includes automated alerts if a weapon is separated from an officer of custody, if a weapon is unholstered or shot(s) are fired, there are unknown circumstances that can put an officer at risk, that cannot be auto-detected by the tag itself.

The IoTWeaponTracker GPS Weapon Tracker tag duress button, enables police officers, security officers or soldiers to press the duress button to produce an immediate alert to the WeaponTracking command center so that officers and vehicles in proximity can be dispatched to assist the officer that alerted duress.

Route payback and reporting

Route PlayBack and Reporting

The IoTWeaponTracker GPS-GSM software platform not only keeps track of the locations of weapons, and security events related to weapons, it is also a software database management system that tracks all of the data related to weapons, and, to events related to weapons.

Authorized Users of the software can not only see weapon locations and alerts, they can also query the software to determine activities related to officers and weapons. This includes location movements over time, that ensures that officers were performing duties and ‘making rounds’ as expected.

Smart Storage Systems

Traditional, Modern Storage Systems for Weapons, Gear and Ammo

Traditional, modern weapon storage systems provide easy and fast access to weapons and any other items stored in an armory. Each storage system and its components are configurable and designed for each customer’s specific item-types and quantities.

Open racks including attachments specifically configured for each type of weapon or items to be stored. These racks minimize the amount of floor space depth required for the racks, enabling more weapons and items to be stored within available floor space. Weapons and items can be rapidly pulled and put-back.

Open racks can be configured within lockable cabinets, providing similar storage capacities, with the added benefit of securing weapons and items by cabinet door locks. Cabinet door locks can be utilized by key, PIN # or fingerprint, and attempts to access the lock and actual opening of the locks saves as data within IoTWeaponTracker.

Storage racks and cabinets can be mounted on metal carriages with ‘wheels’ that fit over rails that are placed in or on the floor. These systems are referred to as ‘High Density Storage Systems’. The side panel of the cabinets includes either a hand wheel and chain that connects the hand wheel to the carriage axle, or, electronic buttons that link to the carriage axle. Configuration can include singled-sided or double-sided storage units. Use of hand crank or button moves the cabinets left or right, eliminating the need for multiple aisles, thusly enabling storage of the most weapons and items in the least floor space.
